Scope of responsibility

I led the project from first contact to final settlement: maintaining continuous contact with the client and coordinating catering and menus, accommodation, parking, room signage, printed and graphic materials, the schedule and on-site event delivery.

The main challenge

Growing attendance required a new way to use the available space. During short breaks, one large room also had to be divided into three smaller rooms, while many arrangements continued to change during the live event.

The solution

I proposed serving dinner simultaneously in the hotel’s two largest rooms on separate floors, with the dance floor in the foyer. I also planned the logistics for rapid room changes and responded to the organiser’s needs in real time.

The outcome

The largest edition welcomed 704 people and the unconventional dinner layout worked despite initial concerns. Six increasingly large events built a relationship based on trust that continues after my departure from the hotel.

A high-profile occasion.
A controlled budget.

Context

An official diplomatic reception attended by politicians, ambassadors, representatives of culture and business, and Poland’s deputy minister of foreign affairs.

The main challenge

Expectations for the importance and setting of the event were high, while every decision also had to remain within the client’s defined budget.

My responsibility

I translated the organiser’s expectations into solutions that could be delivered within the hotel environment, safeguarding priorities, costs and consistency across the arrangements.

The outcome

The reception was delivered successfully and brought together representatives of diplomacy, public administration, culture and business.

The main challenge

The organiser’s expectations had to be reconciled with the hotel’s operational and security procedures without disrupting the other events taking place at the same time.

My responsibility

I coordinated the client’s requirements with hotel teams, safeguarding SOP compliance, guest flow, timing and efficient use of shared spaces.

The outcome

The event was delivered successfully, while its programme remained aligned with venue procedures and the hotel’s parallel operations.
